ShepCard Business

Create digital business cards for your customers, charge your own prices, and deliver links, QR codes, and print artwork. This guide is for independent designers, card resellers, and printing businesses in Ghana and beyond.

How Business works

Your Business workspace keeps customer records, managed cards, staff, and a sales ledger together. Customers can have a card without opening a ShepCard account. You collect their payments directly by cash, Mobile Money, or your preferred method, then record what you received.

ShepCard does not take a share of your sales or pay out your customer earnings. You set the prices for your design and printing services, and handle printing and delivery yourself.

Business has its own billing and card allowance. It does not change your personal plan, and customer cards do not use your personal card slots. Team workspaces are for collaborating on personal cards; Business workspaces are for managing customer jobs.
Open ShepCard Business

Create and activate your workspace

  1. Sign in and verify your email in Settings.
  2. Open Dashboard → Business, enter your business name, and select Create Business workspace.
  3. Select Choose capacity & renew. In Settings & billing, review the total customer card slots and payment quote.
  4. Select Activate / renew and complete the Paystack checkout by card or Mobile Money. Return to the workspace after payment.
  5. Open Customers to start your first job. Use the workspace selector if you also belong to another business.

You can own one active Business workspace. Creating it does not charge you; activation happens after successful payment.

Pricing, capacity, and payment history

The starter package costs GH₵ 99.00 per 30 days and includes 25 customer card slots and 3 staff seats including the owner.

Each additional 25-card block adds GH₵ 50.00 per 30 days to your renewal. This is ongoing capacity, renewed with the workspace.

Business capacity prices per 30 days
Customer card slotsPrice per 30 days
25GH₵ 99.00
50GH₵ 149.00
75GH₵ 199.00
100GH₵ 249.00
  1. The owner opens Settings & billing. To expand an active workspace, select Add card capacity and set Total extra 25-card blocks to the total number of extra blocks you want.
  2. Review the new slot count, the amount due now, and the next 30-day renewal price. An upgrade covers the remaining paid time and keeps your current expiry date. If you prepaid several periods, the quote covers all that remaining time.
  3. Complete checkout. Renewing an active workspace keeps its current capacity and adds 30 days to the paid period. After expiry, you can choose a different capacity when renewing.

Renewals are manual. ShepCard does not automatically debit you. If you renew with a lower allowance, existing cards are preserved; you must be below the new limit to create or restore a card.

Workspace payment history shows activation, renewal, and capacity payments, five per page. Use Previous and Next to find older entries. Only the owner can see this billing history.

Slots count published and draft cards that are not archived. Archiving a Business card also unpublishes it, so its printed QR stops opening a public card. Complete a customer handover or add capacity when an existing card needs to stay online.

Add customers and create their cards

  1. Open Customers → Add customer. Enter the customer's name and, where available, their email, phone, and company.
  2. Select Create card beside that customer, or use Create customer card and choose the customer. Enter a card name you can recognise in your job list.
  3. Use the editor to add the customer's Profile, Contact, portfolio, services, or lead form. Choose a design, check the preview, and save.
  4. Select Publish when ready. In Cards, use Share or Print artwork to deliver the card.

Business cards stay in the Business workspace. They cannot be shared into a personal Team, attached to a personal custom domain, or managed through the personal external API.

Record an accurate customer email before handover or workspace closure. Recovery invitations use this address. Test the published link in a private browser window before sending it to the customer.

Export customer print artwork

  1. Open Business → Cards → Print artwork for the customer card.
  2. Choose White, Black, Navy, or Graphite as the face colour. Switch between Front and Back to review both faces.
  3. Wait for the QR code to finish generating. Download PNG front, PNG back, or the two-page PDF.
  4. Print at 100% / Actual size on CR80 cards, 85.6 × 54 mm at 300 DPI. Disable printer scaling and test the printed QR before delivery.

The Store-style artwork uses Adinkra motifs, customer-name initials instead of a photo or logo, and the customer QR on the front. All four corners are filled with the selected face colour. The back carries ShepCard branding or your Business attribution when enabled.

Publishing is required for visitors to open the card. A printed QR code links to that same card when you update its content. Printing artwork does not program an NFC tag or place a physical Store order.

Record sales, payments, and delivery

  1. An owner or manager opens Sales → Record sale, chooses the customer, describes the service or product, and enters the amount in Ghana cedis.
  2. When money arrives, select Record payment. Enter the amount received, method, and an optional reference. You can record partial payments; the remaining amount stays outstanding.
  3. Update the delivery status as you prepare and deliver the job.
  4. If a payment was entered incorrectly, use its Void action and enter a reason. Record the correct payment separately.

The ledger shows what you recorded, rather than customer payments processed by ShepCard. Collected amounts are revenue records, not profit: printing costs and other expenses are not deducted. Customer payments in Sales are separate from the workspace subscription payments in Settings & billing.

Read your workspace overview charts

  • Sales & collections: owners and managers can compare recorded sales and payments for the last 3, 6, or 12 months. Sales use their recorded month; collections use each payment's recorded month. Voided payments are excluded. Figures use Ghana time and Ghana cedis. Open View monthly figures for the table.
  • Card status: see published, draft, and archived cards. The total includes archived cards; the slot count includes only published and draft cards.
  • Most-viewed customer cards: compare the top five cards by lifetime views, including archived cards. Open View card figures for full names and counts.

Empty charts show guidance until you record activity. Owners and managers can also review recent customer enquiries submitted through the cards' lead forms.

Invite staff and choose roles

The owner opens Staff → Invite colleague, enters the colleague's email, and chooses a role. The recipient needs to sign in with that matching, verified email to accept. Copy and share the invitation link if the email does not arrive.

Business staff permissions
RoleAccess
OwnerAll customer and card work, sales, charts, enquiries and handover, plus billing, staff, settings and permanent workspace closure.
ManagerCustomers, card design, sharing and print exports, sales and payments, financial charts, enquiries and customer handover.
DesignerCustomers, card design, sharing, print exports and card charts. No sales, billing, raw enquiries or ownership handover.

The workspace has 3 seats including the owner. Unexpired pending invitations reserve seats. The owner can resend or revoke invitations, change staff roles, or remove staff. Removed staff lose workspace access immediately.

Inviting or accepting new staff requires an active paid period. Staff invitations last seven days; use Resend if a link expires.

Show your Business attribution

  1. The owner opens Settings & billing and enters the attribution name in Created by.
  2. Enable Show “Created by” attribution on customer cards and select Save business settings.
  3. Check a published customer card and the back of its print artwork.

This setting uses the workspace's name and applies to its managed customer cards. It remains in place if the subscription expires or the workspace closes. Once a customer accepts ownership, their personal-plan branding applies instead.

Hand over ownership to a customer

  1. An owner or manager opens Cards → Hand over and sends an invitation to the customer's account email.
  2. The customer signs in with that matching, verified email and accepts the invitation. For a card that is not archived, their personal plan must have an available slot; they can free a personal slot or upgrade before accepting.
  3. After acceptance, the card leaves your managed workspace and the slot becomes available. The customer can edit it in their own account.

You keep ownership until the customer accepts. Handover invitations last seven days and can be resent from the transfer dialog. On acceptance, the card keeps its existing public URL, content, scans, and leads. Existing QR codes still point to it. Your business loses access, and workspace or personal subscriptions are not transferred.

Subscription expiry, closure, and account deletion

If the paid period ends

Published customer cards stay online with their existing content and branding. You can read cards, share links, export artwork, record sales and payments, archive or unpublish cards, and hand over ownership. Renew to create, edit, restore, or publish cards, invite or accept new staff, or change workspace branding. Archiving also unpublishes a card.

If the owner closes the workspace

  1. Check that customer email addresses are accurate, and complete any handovers you want to finish before closure.
  2. Open Settings & billing → Review workspace closure, review what will be preserved, and type the exact business name.
  3. Select Close workspace and preserve cards. Closing is permanent and removes owner and staff access.

Customer cards and their assets are preserved. Published cards remain online with no scheduled deletion under the current policy; drafts and archived cards remain private. Closure does not automatically publish a private card.

Customers with recorded email addresses receive an ownership invitation valid for 30 days. If it expires or does not arrive, the customer can sign in with that same verified email, open Dashboard → Business → Claim a card from a closed business, and enter the card URL name to request a fresh link. A fresh link lasts seven days. Their personal card allowance still applies when accepting.

If no customer email was recorded, contact support for verified ownership recovery. Knowing a card URL alone does not grant ownership.

The owner must close the Business workspace before deleting their personal account. Preserved customer cards survive that account deletion. A payment arriving after closure does not reopen the workspace; contact support if it needs refund review.

Business troubleshooting

I cannot create or restore another card
Check the paid-period end date and slot count. The owner can renew or buy more capacity. A completed handover releases a slot. Archiving also takes a card offline, so consider its printed QR before doing that.
The quote says “Load failed” or cannot connect
Check your connection and select Retry quote. If your session has expired, sign in again. Checkout needs a valid current quote before you can pay.
I paid but the workspace has not updated
Return from Paystack and check the owner's Workspace payment history. Use Verify payment for a pending entry. Contact support with the payment reference if it remains pending or needs refund review.
A printed customer QR does not open the card
Check that the card is published and not archived. Test the link from Share and scan at the intended printed size. A closed workspace's published cards remain available.
A colleague cannot see Sales or Settings & billing
Check their role in Staff. Designers do not see sales or financial charts. Only the owner sees workspace billing and settings.
The customer cannot accept a handover or claim
Check the invited email, email verification, link expiry, and available personal card slots. Request a fresh claim for a closed workspace or contact support if the recorded email needs correction.
